Steering Committee Responsibilities and Duties (Revised October 2004)
First-year members:
- Send out WiG-L reminders of deadlines for conference panels, conference registration, dissertation prize, WiG Yearbook, and Zantop travel grant applications (Newsletter contains much of this information)
- Solicit updated protocol documents for the various Steering Committee tasks from the various Steering Committee Members and submit to the Webmistress for posting on the Website. This should occur within 8 weeks of the October conference
- Make announcements at the conference (attendees will approach you throughout the conference with announcements that they would like you to make)
- Take minutes at the Steering Committee Meeting
- Send minutes of the SC Meeting to the WiGBiz-L for approval within three weeks of the conference
- Organize raffle. Pass this duty off to the first-year members; include any necessary information about the legalities of holding the raffle in the State in question. (The legalities of raffles differ from State to State.)
- Respond to e-mail on WiGBiz-L
Second-year members:
- Copy and submit finalized minutes from the previous Steering Committee Meeting at the next year's SC Meeting
- Send out WiG Calls for Papers to major list-serves (e.g., fields of German, History, Cultural Studies, Feminist Study, Theory and Philosophy and so forth) and to German Studies Departments (the CfP's can be obtained from the newsletter editors; a list of suggested listservs and departments is available from the Steering Committee)
- Reconfirm deadlines for next conference with panel organizers and with conference organizers
- Make sure the notebook with conference planning information is passed on to the next conference organizer if a transition is taking place
- Take minutes at the Business Meeting
- Send Business Meeting minutes to WiGBiz-L for approval within three weeks of the conference
- Respond to e-mail on WiGBiz-L
- Update this list of Duties and Responsibilities as necessary (for instance based on decisions made at the Steering Committee Meeting), give copies to new first-year members at the conference, and send out to the WiGBiz-L within three weeks of the conference
Third-year members:
- Mentor first-year Steering Committee members. Be certain that the first-year members have received an updated list of duties
- Copy and submit final minutes from the previous Business Meeting at the Steering Committee Meeting
- Check with conference organizers on fund-raising
- Send out reminder on WiG-L for suggestions for future guests, panels, etc.
- Prepare Steering Committee Agenda
- Facilitate Steering Committee Meeting
- Facilitate Business Meeting
- Respond to e-mail on WiGBiz-L
Note: It is now the duty of the Newsletter Editors to update the contact list of those on the Steering Committee, the Treasurer, and the editors of the Yearbook and the Newsletter
